1. What Nassau Tax Buddy Is
Nassau Tax Buddy ("NTB," "we," "us," or "our") is a web application at nassautaxbuddy.com and app.nassautaxbuddy.com that helps Nassau County homeowners file property tax grievances. This policy describes what data we collect, how we use it, and who we share it with.
2. Information We Collect
Information You Provide
- Name and email address. Collected when you submit the authorization form or join the offseason notification list. Used to communicate with you about your case, send filing confirmations, and deliver seasonal reminders.
- Property address. Entered via the address search bar. Used to look up your property records, assessed value, and comparable sales from Nassau County data sources.
- Digital signature. Drawn on the signature pad when you authorize us to file on your behalf. Your signature is embedded in the ARC authorization PDF and stored in our database. The timestamp of your submission serves as the signature date.
- Payment information. Credit or debit card details are collected and processed directly by Stripe. Nassau Tax Buddy does not see, receive, or store your full card number. We store only the Stripe payment intent ID and transaction status.
- Referral information. If you arrive via a referral link, we store the referring case identifier to attribute the referral.
Information We Collect Automatically
- Session data. We use cookies to maintain your session as you move through the application. Session identifiers are stored in our database.
- Property records. When you submit your address, we automatically retrieve your property's assessed value, property details (style, year built, square footage, bathrooms, school district), and comparable sales data from Nassau County public records (ArcGIS, LVR, and AROW systems). This data is stored in your case record.
- Analytics data. We use Google Analytics 4 (GA4) to understand how visitors use the site. GA4 collects anonymized usage data including pages visited, time on site, and general device information. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.
- Error tracking data. We use Sentry to detect and diagnose software errors. When an error occurs, Sentry may collect technical information including the error message, stack trace, browser type, and the page URL where the error occurred. This data is used solely for debugging and improving the service.
3. How We Use Your Information
- To look up your property records and build your appeal case
- To generate your ARC authorization PDF with your name, address, and signature
- To file your property tax grievance through AROW on your behalf
- To process your payment via Stripe
- To send you case confirmations, filing receipts, and seasonal reminders via email
- To attribute referrals and (in the future) apply referral credits
- To diagnose errors and improve the service
We will never sell your personal information or use it for advertising.
4. What We Store
Your case data is stored in a MySQL database hosted on Railway (US-East region). This includes:
- Your name, email address, and property address
- Your digital signature (as an image)
- Property data: parcel ID, assessed value, comparable sales, proposed assessed value
- Case status, payment status, and application number (if filed)
- Session identifiers and timestamps
- Referral attribution data
We do not store your credit card number or billing details. Payment data is held by Stripe.
5. Third-Party Services
We share data with the following third parties as necessary to provide the service:
- Stripe — processes your payment. Receives your card details directly (never passes through our servers).
- Resend — sends transactional emails (confirmations, reminders). Receives your name and email address.
- Sentry — monitors for software errors. Receives technical error data; does not receive your name, email, or payment information under normal operation.
- Google — provides address autocomplete (Google Places API) and analytics (GA4). When you type an address, your keystrokes are sent to Google to provide suggestions. GA4 collects anonymized usage data.
- Nassau County systems — we query ArcGIS, LVR, and AROW (all operated by Nassau County) to retrieve your property data and file your grievance. These are public government systems; their use is governed by Nassau County's own policies.
- Railway — hosts our application and database infrastructure.
6. Cookies
We use session cookies to keep you logged in as you navigate through the application. We also use cookies set by Google Analytics for usage measurement. You can control cookie behavior through your browser settings.
7. Data Retention
We retain your case data for as long as it is needed to provide the service and fulfill our legal obligations. Specifically:
- Active case data is retained through the end of the tax grievance review period (typically through May of the filing year)
- Payment records are retained for 7 years per standard accounting requirements
- You may request deletion of your data at any time by emailing support@nassautaxbuddy.com
8. Data Security
We use industry-standard security measures to protect your data, including encrypted connections (HTTPS/TLS), secure database hosting, and limited access controls. Payment information is handled entirely by Stripe, which is PCI DSS Level 1 certified. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Children's Privacy
Nassau Tax Buddy is not directed at children under 13 and does not knowingly collect any data from children. Users must be at least 18 years old to use the service.
10. Your Rights
You may:
- Request a copy of the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (subject to legal retention requirements)
- Opt out of Google Analytics using the browser add-on

11. Changes to This Policy
If we update this policy, we will revise the "Last updated" date above. For significant changes, we will notify you via email if we have your email address on file.
